Project management migration

monday.com → Jira

Move a monday.com board into a new Jira software or business space with Atlassian's monday importer. Groups can become status, epic, or category. Items become work items. Subitems become subtasks. The importer will not recreate monday's grouped spreadsheet look.

Before you migrate

Should you make this move?

Both platforms have a case. Compare what you gain with what you give up before scheduling the cutover.

Current platform

monday.com

Reasons to stay
  • Colorful, flexible boards and automations make cross-functional work easy to model
  • Structured ownership, status, and workflow views improve operational visibility
Reasons to leave
  • Complex boards, pricing, and inconsistent workspace design create governance overhead
  • Custom fields, automations, history, and reporting are difficult to reproduce exactly
New platform

Jira

What gets better
  • Deep workflow, issue, permission, and reporting controls support complex organizations
  • Structured ownership, status, and workflow views improve operational visibility
What gets worse
  • Administration and process complexity can slow teams that need a lighter workflow
  • Custom fields, automations, history, and reporting are difficult to reproduce exactly
Best of the move

Jira: Deep workflow, issue, permission, and reporting controls support complex organizations. This removes a major source-side concern: Complex boards, pricing, and inconsistent workspace design create governance overhead.

Worst of the move

What you lose: Colorful, flexible boards and automations make cross-functional work easy to model. What you inherit: Administration and process complexity can slow teams that need a lighter workflow.

This timeline assumes

  • One board per import run, up to 25,000 items across the boards you will move
  • A Jira admin can import into company-managed or team-managed spaces. Users who can only create spaces cannot move people.
  • monday members you want assigned already exist on the Jira site, or an org admin will invite them.
  • You accept a new Jira space. Software spaces land on a Kanban template.
  • monday stays available until one full operating week on Jira.

What survives the move.

“Partial” and “manual” are not footnotes. They are work that must be scheduled and verified.

ItemOutcomeImpactWhat happensMitigation
One board per importpartialcriticalAtlassian has you pick a monday workspace and one board. The About this monday board section shows how many tasks will move. Other boards need later runs.Inventory boards. Import the messiest board first as the pilot.
New software or business spacemanualcriticalThe importer creates a new space. You choose software or business, name, access, and key. Software uses a Kanban template.Do not pre-build the destination if you want the importer to create it.
Groupspartialcriticalmonday groups import as status, epic, or category. That is a different working model than a group-based board.Pick the group mapping on Review details and show it to the people who live in groups.
Items and subitemspartialcriticalItems become Jira work items. Subitems become subtasks linked to a parent so the hierarchy is similar.Pilot a board that uses subitems and a board that does not.
MemberspartialcriticalYou can bring board members so they stay assigned. They get no notification. App admins can only move existing site users.Invite users first. Use an admin if assignees must survive.
Field mappingpartialhighReview details lets you customize how monday standard and custom columns map. Jira system fields such as Assignee and Priority should receive the matching monday columns.Map to existing Jira fields before you create new ones.
AttachmentspartialhighYou choose whether to import attachments. Partial failures come back in an error log.Turn attachments on for the pilot and open a sample.
Updates, dashboards, and automationslosthighmonday updates, dashboards, charts, formulas, and automations are not Jira comments, gadgets, or rules.Export the board to Excel with updates if you need the conversation archive. Rebuild automations after intake works.
Look and feellostmediumJira's board is status-based. People coming from monday often miss group-based editing. That is a change-management problem, not an importer bug.Show the Kanban and filter views before cutover. Do not promise a monday clone.
Permissionsmanualcriticalmonday board subscribers are not Jira roles. A business space and a software space have different permission models.Set space access before people start working.
Excel fallbackpartialmediummonday can export a board to Excel, with or without updates. Jira can import CSV. That path is weaker than the direct importer.Use Excel as evidence and as a fallback, not as the default.
Cross-board links and workdocslostmediumLinks between boards and monday workdocs do not become Jira issue links or Confluence pages by themselves.Inventory cross-board dependencies before you split boards across spaces.

Backup procedure

Create the source-of-truth backup

Keep monday board exports and a structure map before Jira writes.

  1. Export each in-scope board to Excel, once with updates.
  2. Record item, group, member, and file counts.
  3. Screenshot automations and dashboards.
  4. Invite Jira users.
  5. Store exports with checksums.

Proof to capture: Dated Excel hashes, board inventory, and invite list.

Transformation · Jira Spaces → Create space → Import data → monday

Direct monday import

Create a Jira space from one board.

  1. Select the workspace and board.
  2. Create the new space and choose software or business.
  3. Review hierarchy, fields, members, and attachments.
  4. Let the import run. Refresh the space when it finishes.

Proof to capture: Save the input, output, command or tool settings, warnings, and final item counts.

Transformation · Review details plus a one-page working-model note

Group-to-Jira working model

Make the group mapping explicit before people open the board.

  1. Decide whether groups become status, epic, or category.
  2. Show the resulting Jira board to the monday users.
  3. Record boards that need a later import.

Proof to capture: Save the input, output, command or tool settings, warnings, and final item counts.

05Handle with care

The things most likely to hurt.

These are operating limits. Treat every “Stop if” condition as a blocked migration, not a suggestion.

Adoption

People reject the board because groups vanished

highlikely likelihood

Users open a status Kanban after years of group rows.

Consequence
Shadow monday boards continue.
Mitigation
Demo the mapping on the pilot board before the rest.

Stop if: The pilot users cannot complete a normal week of work.

Users

Assignees disappear

highpossible likelihood

A non-admin imported the board.

Consequence
Every people field is empty.
Mitigation
Invite users. Use an admin.

Stop if: The pilot loses assignees.

Access

Restricted columns become visible

criticalpossible likelihood

The new space is broader than the monday board.

Consequence
Salary, HR, or client-private columns leak.
Mitigation
Exclude those boards until issue security exists.

Stop if: A restricted column is in the selected board.

Operations

Automations silently stop

highpossible likelihood

monday recipes do not run in Jira.

Consequence
Status changes and notices that people relied on never fire.
Mitigation
Inventory automations and rebuild the ones that still matter.

Stop if: A billing or SLA automation has no Jira replacement.

07The point of change

Cut over with a way back.

Go live

Cutover

Make Jira the only intake system for the moved boards.

Recommended window: A quiet weekday with a Jira admin and the monday board owners.

  1. Freeze new items on in-scope monday boards.
  2. Import the final board deltas.
  3. Reconcile item counts, assignees, and files.
  4. Switch forms and notifications to Jira.
  5. Keep monday read-only.

Proof to capture: Jira owns intake. Counts match. Restricted columns stay restricted.

Return to safety

Rollback

Return intake to monday without losing Jira-era items you still want.

Deadline: Before you delete the monday boards or the Excel exports.

  1. Stop Jira intake.
  2. Reopen the monday boards.
  3. Export Jira items created after cutover.
  4. Apply only reviewed items back to monday.
  5. Run the same access checks on monday.

Proof to capture: monday owns intake. Jira is not receiving production work.

Rollback immediately when
  • Assignees missing on an active board
  • Restricted columns visible to the wrong people
  • Subitems detached from parents
  • Users cannot complete a normal week of work
  • A blocking check cannot be fixed in one business day

Case Study – Migrating from Monday to Jira2022

PractiProject, a Jira consultancy, describes Monday.com-to-Jira moves for customers who want to leave Monday rather than keep a live integration. The main blocker they report is look and feel: users miss grouped boards and multi-status views, so the firm often adds the QuickView app. They map Monday fields onto existing Jira system and global fields, then move data with a Monday Excel export and a Jira CSV import. Their process is discovery, a design document, a dry run the customer tests, then a production cutover with onboarding.

What they recommend
  • Map Monday columns onto Jira system fields and reuse existing global fields before you create new ones.
  • Run a dry-run import the team can click through before you pick a production date.
Worth noticing
  • Adoption often stalls on grouped views, not on whether rows imported.
  • A Monday Excel export plus Jira CSV is still the path this consultancy uses when teams will not keep both tools.
