CRM migration

HubSpot → ActiveCampaign

Move HubSpot contacts into ActiveCampaign with a cleaned CSV. HubSpot has about 200 standard contact properties. ActiveCampaign starts with six default fields. Workflows, behavioral history, and HubSpot reports do not import. Rebuild automations, then run both sides for a full sales cycle before you cancel HubSpot.

Before you migrate

Should you make this move?

Both platforms have a case. Compare what you gain with what you give up before scheduling the cutover.

Current platform

HubSpot

Reasons to stay
  • CRM, marketing, sales, service, and content tools share one approachable data model
  • Structured ownership, status, and workflow views improve operational visibility
Reasons to leave
  • Advanced features become expensive and can lock processes into HubSpot-specific objects
  • Custom fields, automations, history, and reporting are difficult to reproduce exactly
New platform

ActiveCampaign

What gets better
  • Deep lifecycle automation combines email, CRM signals, scoring, and segmentation
  • Audience, campaigns, automations, and reporting live in one publishing system
What gets worse
  • Complex automations and contact-based pricing create migration and governance overhead
  • Automation logic, analytics history, and deliverability settings are not very portable
Best of the move

ActiveCampaign: Deep lifecycle automation combines email, CRM signals, scoring, and segmentation. This removes a major source-side concern: Advanced features become expensive and can lock processes into HubSpot-specific objects.

Worst of the move

What you lose: CRM, marketing, sales, service, and content tools share one approachable data model. What you inherit: Complex automations and contact-based pricing create migration and governance overhead.

This timeline assumes

  • Up to 250,000 contacts, 50,000 companies, and 50 active HubSpot workflows
  • You export HubSpot contacts yourself. ActiveCampaign's article is a CSV path, not a live sync.
  • Finance accepts that HubSpot page views and form-submission history will not become ActiveCampaign events.
  • Forms, ads, and the CRM that should receive new leads are pointed at ActiveCampaign before you cancel HubSpot.
  • You keep HubSpot readable through one full sales cycle.

What survives the move.

“Partial” and “manual” are not footnotes. They are work that must be scheduled and verified.

Backup procedure

Create the source-of-truth backup

Keep HubSpot exports and a workflow inventory before ActiveCampaign sends anything.

  1. Export contacts with all fields, then save a cleaned copy.
  2. Export companies, deals, and forms you still need.
  3. Inventory workflows and who they email.
  4. Export reports finance still needs.
  5. Store files with checksums.

Proof to capture: Dated export hashes, contact counts, and a workflow ledger.

Transformation · Spreadsheet plus ActiveCampaign CSV import

Clean the HubSpot contact file

Import only fields ActiveCampaign will use.

  1. Keep the original export.
  2. Drop unused properties.
  3. Put tags in one comma-separated column.
  4. Create the destination list, then map columns.

Proof to capture: Save the input, output, command or tool settings, warnings, and final item counts.

Transformation · ActiveCampaign automations plus a test contact

Rebuild automations

Replace HubSpot workflows you still need.

  1. Rank workflows by business impact.
  2. Rebuild the first wave.
  3. Walk a test contact through each entry point.
  4. Pause HubSpot copies before go-live.

Proof to capture: Save the input, output, command or tool settings, warnings, and final item counts.

05Handle with care

The things most likely to hurt.

These are operating limits. Treat every “Stop if” condition as a blocked migration, not a suggestion.

Import

You import 200 properties you will never use

highpossible likelihood

The raw HubSpot export becomes the ActiveCampaign field list.

Consequence
Nobody can find the fields that matter.
Mitigation
Pare the file first. Keep the original for later.

Stop if: The cleaned file still has no owner for each remaining field.

Cutover

Workflows keep sending from HubSpot

criticalpossible likelihood

A form or workflow still points at HubSpot.

Consequence
Double email and confused sales.
Mitigation
Pause HubSpot sending. Switch forms first.

Stop if: Any unowned HubSpot send remains active.

Email

Pasted campaigns miss the ActiveCampaign unsubscribe

criticalpossible likelihood

HTML still has a HubSpot unsubscribe URL.

Consequence
Opt-outs do not land in ActiveCampaign. Deliverability suffers.
Mitigation
Insert the ActiveCampaign unsubscribe link on every imported campaign.

Stop if: A production template still uses the old link.

Import

Deals load before contacts

highpossible likelihood

Associations cannot resolve.

Consequence
Orphan deals and missing owners.
Mitigation
Contacts, then companies, then deals.

Stop if: A pilot deal cannot find its contact.

07The point of change

Cut over with a way back.

Go live

Cutover

Make ActiveCampaign the only sender and the system of record for new contacts.

Recommended window: A weekday with marketing, sales, and form owners available.

  1. Pause HubSpot workflows and campaigns.
  2. Import the final contact delta with Update Existing Contacts.
  3. Point forms, ads, and the CRM at ActiveCampaign.
  4. Confirm unsubscribe links.
  5. Keep HubSpot read-only.

Proof to capture: ActiveCampaign owns new leads. Counts match. HubSpot is not sending.

Return to safety

Rollback

Return sending and intake to HubSpot without a second blast.

Deadline: Before you cancel HubSpot or delete the original export.

  1. Pause ActiveCampaign campaigns and automations.
  2. Restore HubSpot forms and workflows.
  3. Export ActiveCampaign contacts created after cutover.
  4. Apply only reviewed records back to HubSpot.
  5. Confirm one sender.

Proof to capture: HubSpot owns new leads and is the only sender.

Rollback immediately when
  • A production form still writes to the wrong system
  • Unsubscribe links still point at HubSpot
  • Contact totals cannot be reconciled
  • A critical automation has no safe rebuild
  • A blocking check cannot be fixed in one business day

09Post-migration cleanup

Remove the scaffolding safely.

Safe after: One complete sales cycle, seven stable days, and a signed report.

  1. Archive HubSpot exports, the cleaned CSV, and evidence.
  2. Pause remaining HubSpot workflows.
  3. Revoke HubSpot keys used by forms you moved.
  4. Keep HubSpot readable through the retention window.
  5. Cancel HubSpot only after billing and legal review.
  6. Schedule the next ActiveCampaign field and automation review.

HubSpot to ActiveCampaign: Why We Switched (Real Numbers)2026

Kristian Larsen moved his agency's marketing off HubSpot after the all-in cost, counting Professional seats and add-ons, had climbed toward $20,000 a year. ActiveCampaign plus a separate sales CRM landed around $2,000 a year. Contacts, companies, and basic tags exported as CSV. Page views and form-submission timestamps did not migrate. ActiveCampaign's free migration help covered the basic import. Automations that used lifecycle stages or custom objects had to be redesigned. Training was a short walkthrough of where dashboards and automations now lived.

What they recommend
  • Audit every field, list, form, and live workflow, then rebuild only the automations that still earn their keep.
  • Use ActiveCampaign's basic import help, and keep complex field mapping and automation design on your team.
Worth noticing
  • Contacts and tags move as CSV. Behavioral history and workflows do not.
  • The cost cut held because they were not using most of HubSpot's breadth, and they split sales CRM out.
