Project management migration

ClickUp → monday.com

monday.com has no ClickUp importer. You export a CSV and use the Excel import, which keeps the first tab, skips the Updates section, and will not take a second pass as an update.

Before you migrate

Should you make this move?

Both platforms have a case. Compare what you gain with what you give up before scheduling the cutover.

Current platform

ClickUp

Reasons to stay
  • A wide feature set can replace several work-management tools
  • Structured ownership, status, and workflow views improve operational visibility
Reasons to leave
  • Density, configuration options, and performance can overwhelm teams seeking simplicity
  • Custom fields, automations, history, and reporting are difficult to reproduce exactly
New platform

monday.com

What gets better
  • Colorful, flexible boards and automations make cross-functional work easy to model
  • Structured ownership, status, and workflow views improve operational visibility
What gets worse
  • Complex boards, pricing, and inconsistent workspace design create governance overhead
  • Custom fields, automations, history, and reporting are difficult to reproduce exactly
Best of the move

monday.com: Colorful, flexible boards and automations make cross-functional work easy to model. This removes a major source-side concern: Density, configuration options, and performance can overwhelm teams seeking simplicity.

Worst of the move

What you lose: A wide feature set can replace several work-management tools. What you inherit: Complex boards, pricing, and inconsistent workspace design create governance overhead.

This timeline assumes

  • The work is tasks in ClickUp Spaces, Folders, and Lists. The site already documents monday.com → ClickUp, which is the importer in the other direction, plus ClickUp → Jira and ClickUp → Asana.
  • A monday.com staff reply says there is no automatic ClickUp import. The path is Excel or CSV, or an API.
  • You export only the locations you need. ClickUp says a large workspace export may fail, and download links expire after one hour.
  • monday.com boards are created before you care about column types. The import lands in columns, not in Updates.
  • ClickUp stays available until someone has opened the imported items and checked a subtask.
02What transfers

What survives the move.

“Partial” and “manual” are not footnotes. They are work that must be scheduled and verified.

ItemOutcomeImpactWhat happensMitigation
Workspace task CSVpartialcriticalFrom Settings, Imports / Exports, Export Items, you pick Spaces, Folders, Subfolders, or Lists. The CSV includes task id, link, type, custom id, name, description under Task Content, status, created and due and start dates as Unix and as text, parent id, subtask ids, attachment names and URLs, assignees, tags, priority, list, folder path, space, time estimates, checklists, comments, assigned-comment count, and time spent.Export the locations you will import. Do not wait on the email link. It expires in one hour.
List or Table view exportpartialhighA view export can be visible columns, task names only, or all columns. Collapsed groups are left out. CSV dates can be Normal, ISO, or POSIX. Free Forever and Unlimited plans can export five List, Table, or Form views. On the newer plans, List view export is a trial on Core, and Core does not include Table or Form view exports. Business and above include unlimited List view exports.Prefer the workspace task export if the plan blocks the view you wanted. Expand groups before a view export.
No ClickUp connectormanualcriticalmonday.com's import section lists Excel, Asana, Basecamp, Jira Server, Google Sheets, Trello, and Zendesk. A staff reply on the developer community says there is no automatic import from ClickUp. They point at the Excel import or the API.Plan a spreadsheet import. Do not wait for a ClickUp button in that list.
File shapepartialcriticalmonday.com accepts .xlsx, .xls, and .csv. XLSM is not supported. The file must be 10 MB or less, unprotected, and one file at a time. Only the first tab imports. The sheet needs at least two columns. An account can upload 100 such files an hour.Split by list until each file is under 10 MB and one tab.
Row and column capspartialcriticalA new board can take a file of up to 100 columns and 8,000 rows, and only the first 50 columns are imported. An existing board can take up to 100 columns and 10,000 rows. Over the limit, monday.com shows an error and asks you to shrink the file.Count columns before you upload. Put the 50 you need first when the board is new.
Subitemsmanualhighmonday.com says subitems in the Excel file import as items. You convert them to subitems afterward. ClickUp's CSV has parent id and subtask ids, which is the map for that conversion.Keep the parent id column. Convert after the import, on a copy of the board first.
Updates and commentspartialhighmonday.com says data cannot be imported into the Updates section. It lands in a column, and you can change the column type later. ClickUp comments are a column in the task CSV, not a thread.Accept a comments column, or paste threads by hand for the tasks that need them.
AttachmentspartialhighThe ClickUp export includes attachment names and URLs in a text field. It does not upload those files into monday.com files columns.Download anything you must keep before the ClickUp URLs or the workspace go away.
AssigneesmanualhighAssignees export as names in a list, such as the bracketed names ClickUp documents. monday.com does not match them to users as part of the Excel article.Invite the people first, then map the names into a People column if the import left text.
A second importmanualcriticalThe Excel article describes loading rows onto a board. It does not describe matching ClickUp task ids and updating those items. A second file adds more items.Import once onto a board you can throw away. Keep the ClickUp task id in a column.
Automations, dashboards, and docslosthighThe exports above are task rows and view columns. ClickUp automations, dashboard cards, and docs are separate, and the Excel import does not claim them.Rebuild the automations you still run. Export a doc on its own if you still need the text.
Export permissionmanualmediumClickUp splits Export Views from the workspace task export permission. A view export also needs permission on that location. The web app is required for imports on the ClickUp side of other moves. Do the export from the web app.Use an admin who can export the locations you listed.

04Before you begin

Make the move recoverable.

Backup procedure

Create the source-of-truth backup

Keep the CSV and ClickUp until the board is checked.

  1. Export the locations you will move, not the entire workspace if it is large.
  2. Download the file in the same hour. The link expires.
  3. Save a copy outside email.
  4. List automations you will rebuild.
  5. Leave ClickUp editable until the board is accepted.

Proof to capture: The CSV on disk, with task ids, and ClickUp still open.

Transformation · ClickUp task export and a spreadsheet

Shrink the file

Fit monday.com's first tab, 10 MB, and column caps.

  1. Export one list, or a set of lists you can split.
  2. Keep one tab. Drop XLSM.
  3. Put the 50 columns you need first if the board is new.
  4. Stay at or under 8,000 rows for a new board and 10,000 for an existing one.

Proof to capture: Save the input, output, command or tool settings, warnings, and final item counts.

Transformation · monday.com Excel import

Board import

Load items once, then fix subitems by hand.

  1. Create the board, or use Import data on a new board and choose Excel.
  2. Upload one unprotected file.
  3. Check that comments landed in a column.
  4. Turn rows with a parent id into subitems on a copy before you do the real board.

Proof to capture: Save the input, output, command or tool settings, warnings, and final item counts.

05Handle with care

The things most likely to hurt.

These are operating limits. Treat every “Stop if” condition as a blocked migration, not a suggestion.

Backup

The email link is the only copy

highlikely likelihood

ClickUp emailed the CSV and nobody downloaded it.

Consequence
The link expires after one hour, and a large export may not succeed a second time.
Mitigation
Download immediately and store the file.

Stop if: You do not have the CSV on disk.

Pilot

The first 50 columns are the wrong ones

criticalpossible likelihood

A new board import silently keeps the first 50 columns of a wider file.

Consequence
Task id or parent id never arrives, and you cannot match subitems.
Mitigation
Reorder columns. Count them.

Stop if: The pilot board is missing parent id.

Cutover

A second file duplicates the board

criticallikely likelihood

Someone imports the same CSV again after fixing a column.

Consequence
monday.com adds items. It does not update the first set.
Mitigation
Throw away the pilot board. Import the fixed file once.

Stop if: The live board already contains the first import and you were about to upload again.

07The point of change

Cut over with a way back.

Go live

Cutover

Create the real boards from a single import of each file.

Recommended window: A day when list owners can look at one board before you import the next.

  1. Freeze task edits in ClickUp, or accept that later edits are a new file and a new board.
  2. Export and download within the hour.
  3. Import once per board.
  4. Convert subitems using parent id.
  5. Invite the people behind the assignee names.
  6. Leave ClickUp in place.

Proof to capture: Item counts match the CSV, and ClickUp is still available.

Return to safety

Rollback

Go back to ClickUp. Do not try to patch the board with a second import.

Deadline: Before ClickUp is cancelled or the CSV is deleted.

  1. Send people to ClickUp.
  2. Archive the monday.com board that is wrong.
  3. Keep the CSV.
  4. Fix columns, then import into a new board.
  5. Write down which parent ids failed.

Proof to capture: ClickUp is the working system, and the bad board is not being edited.

Rollback immediately when
  • The download link expired
  • More than 50 columns were required on a new board
  • Subitems imported as items and were left that way
  • A second import duplicated items
  • Comments were expected in Updates

09Post-migration cleanup

Remove the scaffolding safely.

Safe after: Boards have been used for a few days and the CSV is archived.

  1. Store the CSV with the board links.
  2. Delete throwaway pilot boards so nobody imports into them later.
  3. Rebuild automations you still run.
  4. Download attachments whose URLs you still need.
  5. Cancel ClickUp only after that file is stored.
