Before you migrate

Should you make this move?

Both platforms have a case. Compare what you gain with what you give up before scheduling the cutover.

Current platform

Airtable

Reasons to stay
  • Approachable relational tables combine spreadsheet familiarity with lightweight apps
  • Structured ownership, status, and workflow views improve operational visibility
Reasons to leave
  • Scale, automation, and permission needs can become expensive or awkward
  • Custom fields, automations, history, and reporting are difficult to reproduce exactly
New platform

Coda

What gets better
  • Documents, relational tables, formulas, and automations can form custom internal apps
  • Flexible documents make it easy to capture and organize team knowledge
What gets worse
  • Complex docs become proprietary systems that are difficult to export faithfully
  • Structure, links, permissions, and rich blocks often degrade during export
Best of the move

Coda: Documents, relational tables, formulas, and automations can form custom internal apps. This removes a major source-side concern: Scale, automation, and permission needs can become expensive or awkward.

Worst of the move

What you lose: Approachable relational tables combine spreadsheet familiarity with lightweight apps. What you inherit: Complex docs become proprietary systems that are difficult to export faithfully.

This timeline assumes

  • Editorial planning scale: up to 20 bases, 100 tables, 500,000 records, and 50 automations; actual duration depends on Airtable API rate limits and repair work.
  • The Coda Airtable importer is a beta feature and produces a Read me page plus an Import fixes table that must be reviewed.
  • Every linked Airtable table is selected in the same import so relationships can be reconstructed.
  • Airtable remains authoritative until the imported data and every reported fix reconcile.
  • The migration team records evidence for every blocking verification check.
02What transfers

What survives the move.

“Partial” and “manual” are not footnotes. They are work that must be scheduled and verified.

ItemOutcomeImpactWhat happensMitigation
Bases, tables, views, and linked tablespartialcriticalCoda’s beta importer maps bases to docs and requires every linked table to be selected.Pilot a relationship-heavy base and resolve the generated import-fixes report.
Formulas, rollups, and groupingmanualcriticalCoda states Airtable does not expose the specific formulas, rollups, or grouping configuration.Rebuild each signed calculation and compare known results.
Airtable automationslostcriticalAutomations are not exported through Airtable’s API.Inventory triggers and actions and recreate only approved automations.
Airtable interfaceslosthighAirtable provides no interface export, so presentation must be redesigned in Coda.Capture accepted workflows and rebuild them as pages, views, controls, and buttons.
Field types and formatted valuespartialcriticalThe beta importer may translate Airtable field types or flag unsupported configurations in Import fixes.Pilot every field type and resolve each importer warning before cutover.
Linked recordspartialcriticalLinks depend on importing all referenced tables and can require repairs reported by Coda.Import complete relationship groups and verify both sides of representative links.
AttachmentspartialcriticalAttachment behavior and exceptions must be confirmed in the beta import report; Airtable attachment download URLs expire and cannot serve as a durable archive.Download critical binaries before their URLs expire, record filenames and sizes, then verify ordinary-user access in Coda.
Permissions and sharingmanualcriticalAirtable base, interface, table, and view access is not described as transferable by the importer.Design Coda workspace, folder, doc, and table access before inviting users.
Comments, revision history, and audit evidencelosthighThe importer documentation does not promise transfer of record comments or revision history.Resolve open discussions and retain any required Airtable audit export or archive.
Sync tables, extensions, and integrationsmanualcriticalConnected behavior is outside the documented record import and may expose only a snapshot.Inventory each connection and choose a Coda Pack, automation, manual process, or retirement.
Rate limits and large basesmanualcriticalCoda states Airtable rate limiting allows only 100 records per request, so large imports can take significant time.Rehearse the largest base and schedule enough uninterrupted import time.
Incremental changes and repeat importsmanualcriticalThe importer documentation does not promise an update-in-place or delta migration path.Freeze Airtable for the production import and manually reconcile changes recorded after the rehearsal.

Backup procedure

Create the source-of-truth backup

Preserve Airtable records and the application behavior that the beta importer cannot carry.

  1. Export an unfiltered CSV view for every table and keep the raw files immutable.
  2. Inventory fields, linked tables, formulas, rollups, grouping, interfaces, automations, permissions, syncs, and integrations.
  3. Record row counts and download critical attachments before Airtable's temporary download URLs expire.
  4. Capture screenshots and owner-approved behavior for interfaces and workflows.

Proof to capture: A signed manifest reconciles every scoped table, record count, attachment class, relationship, workflow, and access rule.

Transformation · Coda beta Airtable importer and migration workbook

Importer repair registry

Resolve every warning produced by Coda's Read me and Import fixes output.

  1. Import a relationship-heavy pilot base.
  2. Assign every reported fix to an owner.
  3. Block cutover while any critical fix is unresolved.

Proof to capture: Save the input, output, command or tool settings, warnings, and final item counts.

Transformation · Coda formulas, pages, controls, automations, and Packs

Behavior reconstruction

Rebuild formulas, rollups, grouping, interfaces, and automations that Airtable does not export.

  1. Record expected outputs and user journeys in Airtable.
  2. Implement the minimum approved Coda replacement.
  3. Compare calculations and exercise failure paths.

Proof to capture: Save the input, output, command or tool settings, warnings, and final item counts.

05Handle with care

The things most likely to hurt.

These are operating limits. Treat every “Stop if” condition as a blocked migration, not a suggestion.

Pilot

Importer fixes remain unresolved

criticalpossible likelihood

Coda's Read me or Import fixes table still lists a critical field, relation, formula, rollup, or grouping issue.

Consequence
The imported doc produces incomplete data or incorrect workflow results.
Mitigation
Assign every importer fix and compare representative Airtable and Coda values.

Stop if: Any critical Import fixes item is unresolved.

Cutover

Production import misses frozen changes

criticalpossible likelihood

Airtable receives edits after the production snapshot begins.

Consequence
Source and destination diverge permanently.
Mitigation
Enforce the edit freeze and reconcile a timestamped manual change ledger.

Stop if: Any post-freeze Airtable edit lacks an approved disposition.

Import

Rate-limited import exceeds the window

criticalpossible likelihood

The 100-record request cadence leaves a large base incomplete when users need access.

Consequence
Teams split work between an incomplete Coda doc and Airtable.
Mitigation
Time the largest rehearsal and reserve an uninterrupted production window.

Stop if: The importer cannot complete and reconcile within the approved window.

07The point of change

Cut over with a way back.

Go live

Cutover

Make Coda the only editable system after a frozen, reconciled production import.

Recommended window: A low-volume weekday with Airtable, Coda, data, and business owners available.

  1. Freeze production writes and scheduled actions in Airtable.
  2. Run the production import with every linked table selected.
  3. Resolve the Read me and Import fixes items and reconcile records, links, and attachments.
  4. Switch forms, integrations, automations, and user instructions to Coda.
  5. Run every blocking verification check and keep the source intact.

Proof to capture: Coda owns production, totals reconcile, and every blocking check has durable evidence.

Return to safety

Rollback

Return production ownership to Airtable without losing destination-era changes.

Deadline: Within seven days and before source data, plans, credentials, domains, or billing are changed.

  1. Stop new writes and scheduled actions in Coda.
  2. Restore Airtable forms, integrations, automations, and user instructions.
  3. Use a cutover change ledger or supported Coda export/API to identify destination-era changes.
  4. Review and apply those changes to Airtable without duplicating actions.
  5. Run the same blocking checks against the restored source.

Proof to capture: Airtable again owns production with current data and no duplicate destination action.

Rollback immediately when
  • Unexplained critical count or value variance
  • Missing or exposed critical data
  • Duplicate production action
  • Failed access, linked-record, attachment, formula, automation, or integration check
  • A critical feature has no safe destination replacement

09Post-migration cleanup

Remove the scaffolding safely.

Safe after: One complete operating cycle, at least seven stable days, and owner sign-off on every blocking check.

  1. Create final Airtable exports and archive verification evidence.
  2. Revoke temporary credentials, API keys, webhooks, and elevated roles.
  3. Remove obsolete Airtable forms, interfaces, automations, syncs, embeds, and integrations.
  4. Keep the source intact through the approved retention window.
  5. Cancel paid plans only after billing, legal, and recovery review.
  6. Schedule the next Coda backup, access, and migration-playbook review.
