Prime Time Palm Beach County replaced 140 in-person signatures

Paola Cedeno's team left DocuSign for Dropbox Sign so MOUs, RFPs, and W-9s could be templates with reminders. The Dropbox story does not describe a historical envelope import. This is a vendor case study.

Prime Time Palm Beach County funds afterschool and summer programs in Florida. Dropbox published the customer story on 1 March 2024. Drew Pearce wrote it. Paola Cedeno, Data and Events Manager, is the voice on the page.

This is a vendor case study. The switch is DocuSign to Dropbox Sign for new packets. There is no envelope-count import, no failed template, and no audit-trail comparison.

If you are looking at the same route, start with the DocuSign → Dropbox Sign playbook. Dropbox documents a template migrator. Prime Time’s published story is about stopping in-person signing, not about that importer.

Why they changed tools

Partnerships and events meant contracts. Before Sign, someone came to the office, or a paper packet went out with a sticky note and a return envelope.

One director had to get 140 people to sign an MOU in person. That is Paola’s number.

They now send MOUs, RFPs, and W-9s as Sign templates. Reminders go out every two days until the person signs. Paola likes that more than chasing paper.

Between October 2022 and September 2023, Prime Time youth providers ran 242,665 learning experiences for more than 35,000 youth. Those counts are the program, not a DocuSign metric. I am leaving them attached to the nonprofit, not to the e-sign cutover.

What the page does not move

Completed DocuSign envelopes, certificates, and audit trails are not mentioned. Recipients, routing, and conditional fields are not mentioned. API or embedded signing is not mentioned.

DocuSign can download envelope documents. If you need the legal file cabinet in the new tool, that is a separate job. This story never claims they did it.

What they gained is time on new agreements. Templates instead of printers. Automatic nudges instead of a staff reminder list. Paola’s line is that the minutiae shrank so the team could work on the offerings.

What I would copy

Write the new-packet design first. The 140-signature MOU is a template plus a reminder cadence. You can ship that without importing ten years of signed PDFs.

If lawyers still need the old envelopes, export those PDFs and certificates into an archive you control. Do not wait for a vendor story to prove the history crossed.

Keep DocuSign until a live RFP, a W-9, and an MOU have completed in Sign with the right routing.

The DocuSign → Dropbox Sign playbook is the checklist for templates, evidence, and integrations. Use the Dropbox page for the in-person-to-template shape, and remember history is out of scope there.
