An eight-user company ran Google and Zoho in parallel for ten days

Mo Alhabal moved Digital Era Hub from Google Workspace to Zoho Workplace in about ten days. Shared Drive permissions dropped. Calendar free/busy surprised him. YouTube and Business Profile needed a week-long wait.

Mo Alhabal moved Digital Era Hub off Google Workspace onto Zoho Workplace. He published the write-up on 24 December 2025. This is his own post. He is also a Zoho Authorized Partner, so he already lived in Zoho CRM and finance.

The move took about ten days for every service he listed. He finished with 8 users and said he had zero data loss. He kept Google on through at least one full business cycle after each piece landed.

If you are looking at the same route, start with the Google Workspace → Zoho Workplace playbook. Zoho’s Google Workspace mail migrator is the official mailbox path. Mo used a Google Cloud service account for Drive and mail so he did not ask each person to drag folders.

Why he left Google

He does not hate Google Workspace. He picked it fast when he founded the company, and it worked. The team only used the core apps. The rest of the business already sat in Zoho.

Native links from mail and files into CRM, tasks, documents, and signatures mattered more than staying in a familiar editor. Other Zoho partners he knew in the US often skipped Zoho Workplace. He moved anyway so he could offer the same path to clients after running it on his own tenant.

The post does not publish the Google or Zoho bills, so I am not quoting a saving.

He wrote the inventory first

The useful artifact is the requirements document. Not just Gmail, Drive, and Docs. YouTube channel ownership, Google Business Profile, Sign in with Google on third-party apps, calendars, and shared resources.

Then he phased it. Non-essential services first. YouTube and Business Profile early, because Google makes you wait at least 7 days on those ownership transfers. Heavy file copies after hours. Mail on a weekend.

After each service, Google and Zoho ran together. He did not turn Google off until a real work week had passed on Zoho.

Drive kept most sharing, except Shared Drives

He migrated Drive with a GCP app and a service account. Create Zoho users and invite them to WorkDrive before you start, because the job maps Google users to Zoho users.

Sharing held for most Google Drive content. Sharing inside Shared Drives, Team Drives, did not. He says you need a plan for those folders: rebuild permissions, change owners, or redesign how the team shares.

Keep the service-account email and OAuth client. He reused them later for Gmail.

Calendar free/busy was the gotcha

Each person exported Google calendars and imported them into Zoho Calendar. Sharing and admin defaults are different. If you use Zoho Bookings, point it at the new default calendar or new meetings land in the wrong place.

Imported events may not block availability unless the user turns on free/busy or marks the event that way. Google’s default is the opposite. Scheduling tools will offer times that are already full.

Mail: he flipped MX first

He used the same GCP method for Gmail, overnight or over a weekend. He changed MX records before the mailbox copy, so new mail stopped landing in Google. He says that worked for him, and he also says the sequence depends on time zones and how you want to handle the gap.

Zoho’s official migrator wants Zoho users created first, plus a Workspace super-admin, a service account, and a JSON or P12 key. Gmail labels become folders. A message with three labels can copy three times and inflate the mailbox. Zoho tells you to exclude overlapping labels such as Important when they already sit on Inbox.

Mo’s other warning is spam. He found Zoho’s filter less aggressive than Gmail’s. Expect more junk in the inbox until you tune rules.

Meetings and Docs do not really migrate

Google Meet to Zoho Meeting is a habit change. He says Zoho wants more bandwidth, which showed up on weaker client connections. Recordings live under meetings.zoho.com, not in a Drive folder. The win he named is wiring recordings into Zoho CRM and WorkDrive so a client folder gets the file without a manual upload.

Docs, Sheets, and Slides have a learning curve. The UI felt older. Large sheets and long Writer files felt slower in the browser. He did not hit bugs. Zoho Writer, he notes, shipped in 2005, a year before Google Docs.

The Google accounts that are not Workplace

YouTube and Google Business Profile moved to a personal Gmail, then he waited 7 days, then he deleted the Workspace account. There is no master export for those.

Every teammate had to open Third-party apps with access and replace Sign in with Google with a real password. Miss that step and people lock themselves out after Workspace dies.

What I would copy

List YouTube, Business Profile, and OAuth logins on day one. Those are the services that do not ride along with mail and Drive.

Create Zoho users before the Drive job. Rebuild Shared Drive permissions on purpose. They will not copy.

Warn the team about calendar free/busy before anyone imports. Then check Bookings against a known busy afternoon.

Pick an MX sequence and write it down. Mo flipped MX first. Zoho’s docs also support copying while Google still receives mail. Either works if you know where new messages go during the weekend.

Keep Google readable through one full business cycle. He did, and that is why the ten-day claim includes parallel running.

The Google Workspace → Zoho Workplace playbook is the checklist I would run. Use Mo’s post for the eight-user, partner-on-his-own-tenant path.
